How we handle resident data in the security portal

Who we are

Lynnwood South Village ("LSV", "we", "us") is a residential estate in Pretoria East. The LSV Committee is the responsible party for personal information processed through the estate's resident portal and website, in terms of the Protection of Personal Information Act (POPIA).

What we collect

When you're registered on the resident portal, we hold:

  • Name, stand number, email address, and phone number
  • Your membership tier (Standard or VIP)
  • Records of "Eyes On My Property" requests, private incident reports, and any photos you attach to them
  • The date you accepted this privacy notice

The public feedback form on this site can still be used anonymously and does not require an account.

Why we collect it

Solely to provide estate security services: verifying who is making a request, routing reports and property-watch requests to the control room, and keeping the security committee accountable to residents. We do not use portal data for marketing.

Camera footage

As part of the estate's security roadmap, periodic still images from selected estate cameras (e.g. the main entrance) may be captured and shown to authenticated residents in the portal. These images may show people and vehicles passing through the area. Images are retained for a maximum of 48 hours and are not published publicly. CCTV is also signposted on-site.

Who else sees it

Control room and estate management staff can see the information needed to act on your requests. Our infrastructure runs on Oracle Cloud with Cloudflare in front of it for security and performance — both act as processors on our behalf and do not use your data for their own purposes. Your security service provider(s) may act as an operator under a separate agreement with the Committee.

How long we keep it

  • Completed "Eyes On" requests: 12 months, then deleted (aggregate counts may be kept for estate statistics)
  • Resolved incident reports: 24 months
  • Camera snapshots: 48 hours
  • Disabled portal accounts: 90 days, then deleted

Your rights

You can, at any time:

  • View and correct your details from your portal profile
  • Request a copy of the personal information we hold about you
  • Request that your account and associated data be deleted
